What to Expect When Renting a Photobooth: A Step-by-Step Guide

Renting a photobooth can add a fun and memorable element to any event. Whether you're planning a wedding, a corporate function, or a birthday party, understanding the process from start to finish can help ensure everything goes smoothly. Here’s a detailed guide on what to expect when renting a photobooth from RAK Photobooths:


1. Initial Inquiry and Booking

Contact RAK Photobooths:

  • Reach out to us via phone, email, or our website. Provide as many details about your event as you can, including the date, location, and type of event (wedding, graduation party, corporate event, etc.).

Discuss Options:

  • We’ll talk about the different types of photobooths available (e.g., enclosed, open-air, 360-degree, inflatable) and any customization options such as backdrops, props, and photo templates.

Receive a Quote:

  • Our team will send you a detailed quote that includes pricing, services, and any fun addon options to enhance your event. Let us know if you have any questions!

Review and Sign the Contract:

  • Once you decide on the details, review and sign the rental agreement. The contract will outline all the details, including the rental period, setup and takedown times, and payment terms.


2. Planning and Customization

Finalize Details:

  • Confirm event details with us, such as the event schedule, venue access times, and any specific requirements you might have.

  • You will have access to our portal at rakplanning.com where you can login and make payments, track payments, and see all details

  • Contact us directly with any changes.  You can change your backdrop selection the week of the event even!  

Coordinate with Venue:

  • We will be the easiest vendor for your event.  All we need is access to an outlet.  Chances are pretty high that we have been to your venue and have a good idea for setup!  We arrive an hour before in case any adjustments need to be made.


3. Setup and Preparation

Arrival and Setup:

  • We will arrive at your event venue at the agreed-upon time to set up the booth. This usually occurs an hour before your event starts to ensure everything is ready.

Testing and Configuration:

  • We’ll test the equipment to ensure everything is working correctly.  In the rare case that something isn’t working smoothly, we have support for your attendant and backup equipment that can be delivered to ensure your event runs smooth

Staffing (if included):

  • Some of our photobooth rentals include an attendant to assist with the booth throughout the event. They will help guests, manage the photobooth, and handle any issues that arise.


4. During the Event

Enjoy the Photobooth:

  • Guests can start using the photobooth according to the agreed-upon start time. They will have fun taking photos with props and backdrops, and can  get instant prints or digital copies.

Monitor Usage:

  • If your package includes an attendant, they will ensure that the photobooth is running smoothly and they will assist guests as needed.


5. Takedown and Post-Event

Takedown:

  • After the event ends or at the agreed-upon time, we will dismantle the booth. Our team will pack up all equipment and ensure the area is left clean.

Collect Digital Files (if applicable):

  • If your rental includes digital copies of the photos, we’ll provide these to you. This could be via a digital download link, USB drive, or online gallery.
